1. Who we are

POLARYN ("we", "us") provides AI operating model consulting, the POLARYN Vault member platform (vault.polaryn.ai), and related services. This policy explains what personal data we collect across polaryn.ai and the Vault, where it is stored, and your rights.

2. What we collect

• Website enquiries: name, email address, organisation, and any details you provide via our contact form or chat assistant.
• Vault membership: name, email address, company, job role, membership tier, account status, join date, Terms & Conditions acceptance timestamp, and GDPR consent timestamp.
• Vault usage: session tokens (with expiry) for login continuity and download history (which resources you accessed).

3. Where your data is stored

Vault membership and usage data is stored on our servers in a Supabase (PostgreSQL) database. Data is encrypted in transit (TLS) and at rest. A small amount of data (such as your cookie/consent preference and active session token) is kept in your browser's local storage to keep you signed in on your device.

4. Why we process it

We process your data to authenticate you, control tier-based access to Vault content, manage membership, respond to enquiries, and maintain compliance records (consent and T&C acceptance). We do not sell your data or share it with third parties for marketing.

5. Your rights (GDPR Articles 15–17, 20)

• Access & portability: export a full copy of your data from Profile → Export My Data (standard JSON format), or request a copy by email.
• Rectification: update your details in your Vault profile or by contacting us.
• Erasure: delete your account from Profile → Delete My Account, or request deletion by email.

6. Retention

Membership data is retained while your account is active. When you delete your account (or request deletion), your personal data is removed from our database. Compliance records may be retained where we have a legal obligation to do so.
